Your fire door inspection report identifies defects: what next?

Fire Doors Kent 5 min read

Keep the findings, door references and requested decisions together. Establish what needs action, who approves it and which items a remedial proposal actually addresses.

Receiving a report is the beginning of an action process, not evidence that the work has been completed. Before requesting quotations, make sure the relevant findings can be connected to recognisable doors and understood by the people making decisions. If the report identifies urgency, seek the appropriate professional advice promptly rather than waiting for a general procurement exercise.

This guide helps owners and managers organise the next stage without reinterpreting technical findings themselves. It focuses on clarity between the report, the proposed work and the record of what happens afterwards. A useful response preserves uncertainties as well as tasks that are already defined.

Read the findings with the door references

Start with the report's own identifiers. Locate the relevant building, floor and opening references before creating a separate action list. If an observation is unclear, ask the report author or appropriate adviser to explain it rather than translating it into a guessed repair instruction.

Distinguish a specified task from a finding that needs further investigation. These are different quotation inputs. A request to resolve all defects can hide that difference and leave the contractor or approving client with an unclear brief. Preserve relevant context, especially where a recommendation depends on information that has not yet been established.

Identify who owns the next decision

Explain who is coordinating the enquiry and who can approve expenditure or changes to the scope. Someone else may hold product records or arrange access. Naming those roles in the project brief helps questions reach the right person without assuming the first contact can decide every issue.

For rented or managed properties, do not allocate legal or lease responsibilities from a general guide. Bring the relevant owner or manager into the process and seek appropriate advice where responsibilities are disputed. The operational aim is to know who can authorise the proposed next step and how that decision will be communicated.

Create an action list that preserves uncertainty

Use one row or entry per relevant door and concern. Keep the original finding, requested next step, decision status and any supporting record connected. If a remedy is still undecided, state that rather than treating an early suggestion as the accepted solution.

An illustrative entry might identify a closing concern, note earlier work and request assessment before a remedial proposal is confirmed. That is different from an instruction to replace a named fitting. A simple distinction between awaiting information, awaiting quotation and work agreed helps the project move forward without making the action list appear more complete than the evidence allows.

Request quotations for a defined group of items

Provide the relevant report sections and door references, then say which items you want considered. Keep properties separate if several addresses are involved. Explain access restrictions and who can coordinate appointments, particularly where residents control individual entrances.

Ask the provider to clarify what the quotation includes and what needs further assessment. If only selected findings are priced, preserve the remaining items on the action list. A quote total is not a statement that every recommendation in the report has been addressed. Comparing proposals against the same references makes scope differences easier for the approving client to understand.

Record changes and completed tasks accurately

If the proposed remedy changes after more information becomes available, connect the revision to the original finding. Retain the accepted version and relevant clarifications so a later reviewer can understand the decision. Avoid circulating several competing instructions without a clear accepted position.

After work, ask what information is supplied about the completed tasks and how it identifies the doors. Keep that distinct from the original inspection and from any later review. Completion of a selected repair is not automatically proof that all other findings are resolved or that a wider building assessment has been updated. Record what actually occurred.

Keep unresolved items visible

Some entries may remain open because access was unavailable, a decision is outstanding or further evidence is needed. Give each an understandable status rather than removing it from the list when a quotation is issued. Explain who will follow up and what information is needed to move it forward.

Fire Doors Kent can discuss remedial enquiries through the Contact page. Provide the postcode, affected doors and relevant findings, and explain whether you need specified work priced or a discussion of the next assessment. We do not retrospectively certify another installer's work. The enquiry should establish the service and proposed scope needed for the actual concerns.

USEFUL ANSWERS

Your questions, answered

Should I rewrite technical findings into repair instructions?

Seek clarification where needed. Keep the original observation and distinguish a specified task from an item that still needs investigation.

Can I request a quotation for only part of a report?

Yes. Identify the selected doors and findings, and keep the remaining items visible rather than implying they are included.

What if I do not understand the priority stated?

Ask the report author or appropriate adviser to explain it. Do not delay a potentially urgent concern while interpreting it yourself.

Does receiving a quotation close the action?

No. A quotation, an accepted instruction and completed work represent different stages and should be recorded accordingly.

What if access was unavailable?

Keep that limitation and the outstanding door reference clear, with the contact or arrangement needed for follow-up.

How can Fire Doors Kent help?
